We are currently seeking an experienced Conveyancer Assistant to join our Residential Conveyancing Department. This role involves providing critical support to a Team Leader/Senior Conveyancer, assisting in the management of their caseload to ensure the smooth progression of property transactions.
Job Overview:
We are looking for a diligent and organised Conveyancer Assistant to provide essential support to a Team Leader/Senior Conveyancer within our Residential Conveyancing team. In this role, you will be responsible for assisting with the administrative and legal aspects of conveyancing transactions, helping to ensure that cases progress efficiently from instruction to completion.
Key Responsibilities:
Administrative Support:
- Assist the Team Leader/Senior Conveyancer in managing their caseload, including the preparation and management of correspondence, documentation, and files.
- Handle the opening, maintaining, and closing of case files, ensuring all documentation is accurately filed and up to date.
- Prepare standard legal documents such as contracts, transfer deeds, and completion statements.
Client and Third-Party Liaison:
- Act as the first point of contact for clients, estate agents, mortgage lenders, and other parties involved in the conveyancing process.
- Schedule and coordinate meetings, telephone calls, and other communications between the Team Leader/Senior Conveyancer and clients or third parties.
- Provide clients with updates on the progress of their transactions, addressing routine inquiries and escalating complex issues as necessary.
File Management and Compliance:
- Conduct preliminary checks and gather necessary documentation, such as identity verification and property searches.
- Ensure all conveyancing files are compliant with legal, regulatory, and firm standards, conducting regular audits and checks.
- Assist in preparing files for exchange and completion, ensuring that all legal and administrative requirements are met.
Technical and Research Support:
- Perform basic legal research to assist the Team Leader/Senior Conveyancer in resolving issues related to title, searches, or other aspects of the conveyancing process.
- Utilise conveyancing software to input data, track case progress, and generate reports.
- Assist in drafting and reviewing documents, ensuring accuracy and attention to detail.
Team Collaboration:
- Work closely with other members of the Residential Conveyancing team to ensure seamless service delivery.
- Provide support to other fee earners and assistants as needed, helping to manage workload during peak times.
- Participate in team meetings and contribute to discussions on improving processes and client service.
Qualifications and Experience:
Essential:
- Experience in a conveyancing assistant or similar support role within a residential conveyancing department.
- Strong understanding of the conveyancing process and relevant legal documentation.
- Excellent organisational and multitasking skills.
- Proficient in using conveyancing software, Microsoft Office, and other relevant legal technology.
Desirable:
- Previous experience in a leading law firm’s conveyancing department.
- Legal qualifications such as a Conveyancing Technician Certificate or similar.
- Knowledge of MSB Solicitors’ procedures and systems.
